Enterprise – Fully customizable for advanced workflows
Generally, enterprise customer will want to:
- Document their compliance
- Customize the experience and sometimes localize it to the user’s jurisdiction
- Make the form or toll-free number available for many sites
- Automate the verification, and the processing of the request.
Let’s do a deep dive on all 4 from our Enterprise Package.
Documenting compliance efforts.
By signing up for the Enterprise plan, you gain access to the Audit Trail feature—an essential tool for navigating internal or external audits. Enterprises are often required to demonstrate compliance steps taken when a consumer submits a privacy request. Our Audit Trail makes that easy.
Within the dashboard, the Audit Trail tab logs most activity—such as privacy request handling or configuration changes—and records who performed each action. Even if a user is later deleted, we retain key metadata to preserve the integrity of the audit record.
Need to prove when a request was fulfilled? Simply search the Audit Trail by request ID to view the action and timestamp. For broader oversight, you can export the entire audit history as a CSV file.
The Audit Trail also captures administrative actions—like toggling off a service code—so you can track the state of your setup, when changes occurred, and who made them.
This feature is built to help you breeze through audits. And don’t worry—if you’re concerned about missing something, just follow the guidance in our email notifications to stay compliant and in control.
Customizing the privacy experience
You can customize key parts of the consumer experience—such as the webform, toll-free number flow, and outbound communications—directly from the dashboard.
Webform Customization
You have full control over the webform: edit questions, fields, and the rights you offer. Our webform also supports dynamic rights selection—for example, a user selecting “USA” may see different options than one selecting “France.” It’s designed to be flexible and globally deployable.
Toll-Free Number Experience
You can tailor the toll-free number experience as well—from the initial greeting a consumer hears when selecting your service code to how service codes are presented if you manage multiple brands.
Don’t want to display our 866-I-OPT-OUT number, not a problem, go to the “Dedicated Phone Numbers” tab, and issue a dedicated number available right away.
Email Template Configuration
Workflows include emails sent internally or externally to consumers, webhooks triggered by Optacy, and API requests sent to or from Optacy. All of these elements are highly customizable, allowing you to define how requests are processed and how you communicate with your consumers.
What if you need dozens or hundreds of webform / toll-free numbers?
In Optacy, a service code is a reprensentation of a toll-free number service code, a webform, and a soon a cookie banner. When you need more than 10 service codes, you have to reach out to us to create a custom package for you which will publish as many service codes as you’d like. Similarly, we can create as many dedicated toll-free numbers as required.
A service code should be created for every privacy policy, website, brands or subsidiary you own. That is a good rule of thumb to make your compliance standard across all of your activity.
Automating the workflow to process requests
Start by publishing a webform and/or configuring a toll-free number. Next, you can either use our default workflow or create a custom one directly within the dashboard.
A workflow consists of a series of steps triggered after a privacy request is received. Each step can involve:
- Sending an internal or external email
- Sending an API request to Optacy to move the request forward
- Receiving a webhook confirmation from Optacy
- Providing the user with a secure download of their data
Example of a Popular Custom Workflow
- A consumer submits a privacy request.
- The system automatically acknowledges the request and verifies the consumer’s email address.
- After verification, Optacy sends a webhook to your internal platform to begin processing.
- Once processing is complete, you send an API request to Optacy to mark the request as fulfilled and notify the user via email.
- Optionally, a secure URL is sent to the user to download their personal data.
Note: Optacy can now directly integrate with third-party systems or your internal data systems. Contact us for setting up integrations.
